Production Coordinator - Remote
About the Role
We are looking for a Production Coordinator to join our growing team and support the planning, coordination, and execution of corporate events and productions. This is a fully remote position with travel required for on-site event support as needed.
The ideal candidate will bring strong organisational skills, a solid understanding of live event production, and hands-on experience with Vectorworks to support technical planning and documentation across projects.
Key Responsibilities
- Coordinate all aspects of corporate event production, from pre-production planning through to on-site execution and post-event wrap-up
- Develop and maintain production schedules, timelines, run of shows, and deliverable trackers across multiple concurrent projects
- Create and manage technical drawings, floor plans, and layouts in Vectorworks to support production design and venue planning
- Liaise with vendors, venues, AV partners, and internal teams to ensure seamless production delivery
- Support budget tracking and cost management, flagging any scope changes or variances in real time
- Prepare and distribute production books, advance documents, and technical specifications for each event
- Coordinate logistics including freight, shipping, load-in/load-out schedules, and crew management
- Attend site visits and on-site production days as required (travel expected)
- Serve as a key point of contact between creative, technical, and client-facing teams to keep projects aligned and on track
- Maintain accurate project documentation and post-event reporting
Requirements
- 3-5+ years of experience in event production, production coordination, or a related role within the corporate events, experiential, or agency space
- Proficiency in Vectorworks - must be able to produce technical drawings, floor plans, and event layouts independently
- Strong understanding of AV, staging, lighting, and scenic production within a corporate event environment
- Excellent organisational and project management skills, with the ability to manage multiple projects simultaneously
- Comfortable working in a fast-paced, deadline-driven environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Office / Google Suite and project management tools (Monday.com, Asana, Basecamp, or similar)
- Ability to travel domestically for on-site event support as needed
- Self-motivated and able to work independently in a remote setting
Preferred Qualifications
- Experience with AutoCAD, SketchUp, or other drafting software in addition to Vectorworks
- Familiarity with hybrid and virtual event production platforms
- Background working with Fortune 500 clients or large-scale corporate programs
- Experience coordinating with union crews and large-scale venue operations
- Knowledge of health & safety regulations for live events
