Office Engineer

Client is seeking an experienced Office Engineer to provide comprehensive support for transportation and infrastructure projects in collaboration with the Resident Engineer and Project Manager. This role is critical to ensuring smooth project execution, compliance with NYSDOT standards, and accurate documentation throughout all phases of construction. The ideal candidate will possess strong organizational skills, technical knowledge, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Project Scheduling & Coordination: Assist the Resident Engineer and Project Manager in developing, updating, and maintaining detailed construction schedules to ensure timely project delivery.
  • Document Control & Communication: Prepare, review, track, and distribute Requests for Information (RFIs), change orders, and other project-related correspondence. Maintain clear communication between contractors, stakeholders, and project teams.
  • Submittal Management: Receive, process, and monitor NYSDOT submittals, ensuring compliance with specifications and timely approvals.
  • Regulatory Compliance: Maintain meticulous NYSDOT MURK-compliant records and documentation, including materials acceptance letters and compliance reports.
  • File & Record Management: Organize and maintain comprehensive construction files, logs, and project records for easy retrieval and audit readiness.
  • Field Reporting Oversight: Review and monitor daily inspector reports, ensuring accuracy and completeness.
  • Issue Tracking: Document and manage project conditions, potential risks, and emerging issues, providing timely updates to leadership.
  • Meeting Support: Attend project meetings, accurately record minutes, and distribute summaries to relevant parties.
  • Financial Administration: Assist with payment requisition reviews, track contract payments, and process fuel, asphalt, and steel adjustments. Prepare and reconcile cost-plus records.
  • Project Close-Out: Support final project documentation, claim resolution, and ensure all deliverables are completed in accordance with contract requirements.
  • Compliance & Reporting: Manage EEO compliance reporting, DBE participation, and trainee program requirements.
  • Technical Review: Evaluate contractor claims, analyze supporting documentation, and provide recommendations. Maintain and review shop drawings, working drawings, and submittals.
  • Payroll & Insurance Monitoring: Verify contractor payroll and insurance documentation for compliance.
  • Final Documentation: Ensure all project records are processed promptly and organized for future reference.
  • Additional Duties: Perform other related tasks as assigned to support project success.

Minimum Qualifications

  • Minimum of 5 years of experience as an Office Engineer or in a similar role.
  • Proficiency in Microsoft Office Suite with strong data management and reporting capabilities.
  • In-depth knowledge of NYSDOT construction plans, specifications, and compliance requirements.
  • Familiarity with construction materials, methods, and industry best practices..
  • Experience reviewing contract documents and construction plans.
  • Ability to work independently with minimal supervision while managing multiple priorities.
  • Exceptional attention to detail and time management skills.
  • Reliable transportation for travel to field offices.

Preferred Qualifications

  • Experience with NYSDOT or Locally Administered Federal Aid Projects.
  • Bachelor's degree in Engineering or a related discipline
  • Proficiency in NYSDOT software applications, including Site Manager.
  • Specialized knowledge in transit, bridge, roadway, utility, or transportation projects.
  • Familiarity with APPIA construction management software.
