Principal Project Documentation & Specification

We are currently working with a specialist advisory company who are seeking a highly organized Principal Advisor for the creation, management, and governance of technical documents, specifications, and contracts. This role is critical in ensuring that all technical and contractual documentation aligns with regulatory standards, project requirements, and organizational goals.

Key Responsibilities:

  • Technical Specifications & Documentation
  • Develop, review, and maintain detailed technical specifications for transport systems, vehicles, infrastructure, and equipment.
  • Collaborate with engineering, operations, and procurement teams to ensure specifications meet operational and safety standards.
  • Manage the lifecycle of technical documents, including version control, approvals, and archiving.
  • Ensure documentation complies with industry standards (e.g., ISO, EN, local transport regulations).
  • Contract Management - Draft, review, and manage contracts related to suppliers, service providers, and infrastructure projects.
  • Coordinate with legal and procurement teams to ensure contractual terms are clear, enforceable, and aligned with company policies.
  • Monitor contract performance, deliverables, and compliance, and manage renewals or amendments as needed.
  • Maintain a centralized contract repository and ensure timely reporting on key milestones and obligations.
  • Cross-Functional Collaboration
  • Act as a liaison between technical, legal, and operational teams to ensure alignment on documentation and contractual matters.
  • Support project managers and stakeholders with documentation and contract-related insights during project planning and execution.
  • Compliance & Risk Management - Ensure all documentation and contracts adhere to relevant legal, regulatory, and safety standards.
  • Identify and mitigate risks associated with technical and contractual documentation.

Qualifications:

  • Bachelor's degree in Engineering, Law, Business Administration, or a related field. Master's degree is a plus.
  • Minimum 5 years of experience in technical documentation, contract management, or a similar role, preferably in the transport or infrastructure sector.
  • Strong understanding of transport systems, technical standards, and regulatory frameworks.
  • Proficiency in document management systems and contract lifecycle management tools.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple projects and deadlines simultaneously.
