Position Summary

Our client is seeking a Project Coordinator to support its project management team in the coordination, administration, and delivery of key project activities. This individual will act as a key support to the Project Manager, helping to manage documentation, track milestones, coordinate communications, and ensure project information is maintained accurately throughout the lifecycle of each project.

This is an excellent opportunity for someone with strong organisational skills, high attention to detail, and experience supporting projects in a data center, manufacturing, engineering, or mission-critical environment.

Key Responsibilities

  • Support the Project Manager with day-to-day coordination of project activities, documentation, reporting, and administrative tasks.
  • Maintain project tracking tools and ensure new projects, milestones, deliverables, and status updates are recorded accurately.
  • Coordinate meetings, prepare agendas, capture minutes, distribute action items, and follow through to completion.
  • Compile regular project reports, including updates on schedule, progress, financials, product delivery, and key performance indicators.
  • Generate and manage project-related documentation such as technical submittals, test documents, O&M manuals, shipping logs, and related client deliverables.
  • Liaise with internal and external stakeholders including clients, production, logistics, site teams, accounts, supply chain, and project leadership to support efficient execution and delivery.
  • Assist in monitoring deadlines, identifying risks, escalating issues, and helping keep project workflows on track.
  • Maintain confidentiality around commercial information, cost reporting, and internal project updates.
  • Support document control, invoicing coordination, shipping information, and other project closeout or operational tasks as required.
  • Contribute to process improvement by identifying administrative or coordination gaps and suggesting more efficient ways of working.

Qualifications

  • 1-3+ years of experience in a Project Coordinator, Project Administrator, PMO Coordinator, or similar support role.
  • Experience in a manufacturing, engineering, construction, mission-critical, or data center environment is advantageous.
  • Bachelor's degree preferred, though equivalent professional experience will also be considered.
  • Strong Microsoft Office skills, particularly in Excel, Word, Outlook, and PowerPoint.
  • Experience using project tracking or document management tools such as SharePoint, Smartsheet, or similar platforms is desirable.
  • Excellent organisational, communication, and interpersonal skills.
  • Ability to work in a fast-paced environment, manage competing priorities, and meet deadlines with minimal supervision.
  • High attention to detail, professionalism, and a proactive, solutions-oriented mindset.
