Document Control Manager
Job Summary:
We are seeking a highly organized and experienced Document Control Manager to lead the development and implementation of document control systems across engineering and corporate functions. This role is critical in ensuring the accuracy, accessibility, and compliance of all technical and legal documentation throughout the organization.
Key Responsibilities:
1. Design of Document System, Standards, and Operation Rules
- Develop systematic structures, classification schemes, and naming conventions for documents related to products, services, and internal operations.
- Establish and maintain quality standards, templates, and style guides for documentation.
- Design workflows for document creation, review, approval, publication, storage, and deletion.
2. Issuance, Update, and Deletion Flow Management
- Manage the life-cycle of documents, including issuance, updates, and secure deletion.
- Ensure robust version control to maintain document accuracy and traceability.
- Promote efficient document flow using a Document Management System (DMS).
3. Departmental Collaboration and Audits
- Collaborate with departments such as development, sales, production, and legal to understand documentation needs.
- Foster a strong documentation culture by guiding and supporting document creators and users.
- Conduct regular audits to ensure compliance with established document control procedures and identify areas for improvement.
4. Assurance of Conformity of External Documents
- Ensure public-facing documents (e.g., manuals, terms of service, privacy policies) comply with legal, contractual, and customer-specific requirements.
- Work closely with legal and compliance teams to ensure documents reflect the company's obligations and commitments.
Required Skills & Qualifications:
- Proven experience in creating and managing technical and legal documents.
- Understanding of public works documentation and regulatory requirements.
- Hands-on experience with document management systems.
- Strong organizational, analytical, and communication skills.
- Fluency in both Japanese and English.
Preferred Skills:
- Experience supporting ISO certification processes.
- Over 3 years of experience operating a Quality Management System (QMS), such as ISO 9000.
- Practical experience in document disclosure and coordination for public works projects.
- Knowledge of risk management principles.
- Demonstrated success in conducting document audits and implementing corrective actions.
