Position Overview
A well-established mechanical contracting firm is seeking an experienced Senior HVAC / Mechanical Estimator to operate independently and help lead the growth of its estimating function. This is a senior-level role with a clear path toward an Estimating Manager or Director position.
The successful candidate will take full ownership of the estimating process. Producing accurate, competitive estimates while collaborating closely with engineering, project management, and executive leadership to pursue work strategically. This role requires strong technical expertise, sound judgment, and the ability to represent the organization professionally with clients, vendors, engineers, and general contractors.
This position is ideal for an estimator who is equally comfortable with traditional plan-and-spec work and early-stage design/build conceptual budgeting.
Key Responsibilities
Estimating & Preconstruction
- Review drawings, specifications, and bid documents to define project scope and requirements
- Prepare detailed HVAC and mechanical estimates, including labor, materials, equipment, subcontractors, and general conditions
- Develop conceptual and design/build budgets using limited information and engineering judgment
- Perform detailed takeoffs for ductwork, piping, equipment, and related mechanical systems
- Evaluate mechanical systems for constructability, value engineering opportunities, and cost savings
- Coordinate with vendors and subcontractors to obtain pricing and assess proposals
- Assemble complete estimate packages, including scope narratives, assumptions, clarifications, and alternates
Leadership & Collaboration
- Partner with project managers, field leadership, and engineering teams throughout preconstruction
- Support business development and sales efforts with early-stage pricing, system options, and budget guidance
- Help develop and refine estimating processes, templates, databases, and best practices
- Provide mentorship and guidance as the estimating team grows
- Represent the firm in meetings with owners, engineers, and general contractors
- Over time, assume responsibility for the overall estimating function and support training of junior staff
Project Transition & Support
- Participate in project handoff meetings with operations teams
- Assist with system design decisions, equipment selections, and value engineering
- Support project managers during procurement and early project execution to ensure alignment between estimate and field execution
Qualifications
- 7+ years of mechanical/HVAC estimating experience, preferably in commercial construction
- Strong expertise in ductwork, comfort HVAC piping (including VRF systems), and mechanical installation practices
- Proven experience with conceptual and design/build estimating
- Ability to read and interpret mechanical drawings, specifications, and engineering documents
- Proficiency with estimating software such as Wenduct, FastEST, Trimble, or similar platforms
- Strong written and verbal communication skills
- Highly organized, detail-oriented, and capable of managing multiple deadlines
- Demonstrated ability to work independently and take ownership of results
- Leadership experience or a strong desire to grow into a management role
Preferred Attributes
- Experience with VRF systems, RTUs, boilers, pumps, controls, and large-scale mechanical systems
- Familiarity with design/build workflows and customer-facing budgeting
- Ability to bring structure, consistency, and best practices to an evolving estimating department
