Our client is one of the top ranked civil engineering firm in Arizona and is seeking a Marketing Proposal Specialist to lead and manage the firm's proposal process from start to finish. This role is highly visible and plays a critical part in positioning the firm for success through strategic, high-quality, and client-focused submittals.
The ideal candidate is an organized, detail-oriented professional with strong communication skills who thrives in a deadline-driven environment. This individual will serve as a central coordinator between internal teams and external clients, ensuring all proposals, qualifications, and presentations are executed with consistency, accuracy, and professionalism.
Primary Responsibilities
- Own and manage the full proposal lifecycle from kickoff through submission for RFQs, RFPs, and SOQs
- Serve as the central coordinator between technical staff, leadership, and deadlines
- Develop, edit, and assemble compelling proposal content, including project descriptions, resumes, and narratives
- Ensure compliance with all client requirements, including formatting, content, and submission guidelines
- Manage proposal schedules, deadlines, and deliverables to ensure on-time, high-quality submissions
- Coordinate and prepare client-facing materials and presentations, including interview decks and logistics
- Maintain and update proposal databases (resumes, project sheets, boilerplate content)
- Manage client and vendor registrations and prequalification requirements
- Support business development efforts by tracking opportunities and assisting with pursuits
- Identify opportunities to improve proposal processes, quality, and efficiency
Requirements
- Bachelor's degree in Marketing, Communications, Journalism, or related field preferred. Industry experience may replace this requirement.
- 5+ years of experience managing proposals in the A/E/C industry
- Proven ability to manage multiple deadlines and priorities simultaneously
- Strong writing, editing, and organizational skills with exceptional attention to detail
- Ability to work independently while collaborating across teams
- Advanced proficiency in Adobe InDesign and Microsoft Office
- Graphic design and presentation development experience a plus
- Required proficiency with Microsoft Word, PowerPoint, and Outlook; working knowledge of Adobe Photoshop, Illustrator.
