Position Overview

This role supports the Project Management team and requires a detail-oriented, organized, and customer-focused individual. The ideal candidate will thrive in a fast-paced, high-volume environment and possess strong communication and Microsoft Office skills. This position involves frequent interaction with internal teams, clients, and vendors.

Key Responsibilities

  • Track shipping schedules and communicate updates to clients.
  • Maintain accurate project records in the CRM system.
  • Collaborate with project and service teams to gather and share project updates.
  • Manage and distribute installation, operation, and maintenance manuals.
  • Assist with the handling and tracking of equipment submittals.
  • Maintain organized and up-to-date project folders.
  • Support administrative tasks related to equipment fulfillment.
  • Perform order entry in CRM, accounting software, and vendor systems.
  • Generate and interpret project-related reports.
  • Complete tasks assigned through the Project Management Coordinator dashboard.
  • Be available for occasional overtime or weekend work as needed.

Requirements

  • Prior experience in administrative support.
  • Excellent customer service and communication skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience in HVAC, mechanical contracting, engineering, or construction is a plus.
  • Ability to work independently and collaboratively.

Work Environment & Physical Demands

  • Flexible work location: remote or in-office, with monthly in-office meetings.
  • Regular use of computer and phone; occasional lifting of up to 25 pounds.
  • Requires visual acuity for detailed work.
