Title: Project Documentation Manager
The Opportunity:

Responsibilities:
The Document Manager is responsible for the systematic management, control, and administration of all project documents throughout the entire project lifecycle - from development and detailed design through procurement, construction, commissioning, and handover at Commercial Operation Date (COD). This role ensures document accuracy, accessibility, compliance, version control, and efficient information flow across internal teams, contractors, and external stakeholders in a complex EPC environment.
Key Responsibilities
- Establish and maintain a centralized project document management system (e.g., using SharePoint, Aconex, Procore, or equivalent) for all technical, commercial, quality, and administrative documents.
- Implement document control procedures, numbering systems, filing structures, and workflows to ensure consistency and traceability.
- Manage document review, approval, distribution, and revision processes for engineering drawings, specifications, contracts, submittals, RFIs, reports, and as-built documentation.
- Provide oversight of contractor and supplier document submissions and ensure compliance with contract requirements.
- Coordinate document handover packages and record retention for project closeout and COD.
- Generate and maintain document registers, transmittals, and status reports for project leadership and stakeholders.
- Ensure compliance with regulatory, quality, and security standards (ISO, internal governance, data privacy).
- Train project team members on document management with the best practices and tools.
- Support audits, claims, and knowledge management by providing quick access to historical project records.
Qualifications
Required:
- Bachelor's degree in engineering, Information Management, Business Administration, or relevant experience.
- 5-10+ years of document management / control experience on large-scale EPC or infrastructure projects, preferably in power generation.
- Strong proficiency with document management systems (EDMS) and tools like Microsoft SharePoint, Adobe Acrobat, and Office 365.
- Excellent organizational, communication, and attention-to-detail skills.
Preferred:
- Experience with power plant projects reaching COD.
- Familiarity with EPC contract document requirements and technical submittals.
- Certifications in document control or project management (e.g., PMP).
