Production Estimator (Association Events) - Remote
About the Opportunity
We are seeking a highly organized and detail-oriented Project Estimator to support the development of accurate and competitive proposals for large-scale association events, conferences, meetings, and live event productions. This role is ideal for someone with a background in event production, project management, or production management who enjoys the planning and logistical side of events and is looking to transition away from extensive travel and on-site responsibilities.
Working closely with sales, account management, and operations teams, the Project Estimator will be responsible for building detailed estimates, reviewing RFP requirements, and ensuring all audiovisual equipment, labor, and production costs are accurately captured.
This is a fully remote position requiring exceptional time management, attention to detail, and the ability to manage multiple deadlines independently.
Key Responsibilities
- Review incoming RFPs and event requirements for association and corporate meeting clients.
- Develop accurate cost estimates and proposals for audiovisual and event production services.
- Enter quote details, equipment requirements, labor allocations, and pricing information into IntelliEvent and other internal systems.
- Collaborate with operations, production, and sales teams to ensure estimates align with inventory availability and execution requirements.
- Interpret client specifications, floorplans, production schedules, and technical requirements.
- Maintain pricing accuracy and consistency across all proposals.
- Track proposal deadlines and ensure all estimates are completed on time.
- Support bid strategy discussions and identify opportunities for cost efficiencies.
- Assist with revisions, change orders, and proposal updates as client requirements evolve.
- Maintain organized records of estimates, pricing models, and project documentation.
Qualifications
- 3+ years of experience within the audiovisual, live events, meetings, or event production industry.
- Previous experience preparing quotes, estimates, proposals, or budgets for live events.
- Experience as a Project Manager, Production Manager, Event Manager, Technical Director, or similar role is highly preferred.
- Familiarity with IntelliEvent is strongly preferred, although training can be provided for the right candidate.
- Strong understanding of audiovisual equipment, labor requirements, and event production workflows.
- Ability to read and interpret event specifications and RFP documents.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize multiple projects and manage competing deadlines in a remote environment.
- Proficiency with Microsoft Office Suite, particularly Excel.
