Live Event Project Manager (Association Events) - Remote

Senior Project Manager

Association Conferences & Events | Remote

Position Overview

We are seeking an experienced Senior Project Manager to lead large-scale association conferences and events, with a particular focus on breakout rooms and concurrent sessions rather than general session production.

This is a client-facing role requiring strong audiovisual production knowledge, exceptional customer service, and the ability to manage complex events from initial planning through onsite delivery.

Key Responsibilities

  • Act as the primary client contact throughout the planning and delivery process.
  • Manage association conferences with multiple breakout rooms and concurrent sessions.
  • Lead client meetings, planning calls, and internal project reviews.
  • Develop production schedules, equipment lists, labor plans, and event documentation.
  • Coordinate with production, operations, technical teams, venues, and vendors.
  • Manage project budgets, timelines, logistics, and scope changes.
  • Maintain accurate project information using IntelliEvent.
  • Identify potential risks and develop effective solutions.
  • Oversee onsite delivery and ensure a consistently high standard across all meeting rooms.
  • Manage multiple projects and deadlines simultaneously.

Required Experience

  • Strong project-management experience within audiovisual production, corporate events, or association conferences.
  • Proven experience managing complex breakout-room programs.
  • Knowledge of audio, video, lighting, projection, streaming, and event technology.
  • Excellent client-service, communication, and organizational skills.
  • Experience managing budgets, production schedules, labor, and event documentation.
  • Ability to work independently in a remote environment.
  • Willingness to travel and work flexible hours when required.

Preferred

  • Experience using IntelliEvent.
  • Experience supporting annual meetings, conventions, or national associations.
  • Familiarity with venues, union labor, rigging, and convention-center operations.

Working Environment

This is a remote position with regular travel to support events onsite. Some evening and weekend work may be required during active event periods.

Main changes: I removed repetition, shortened the responsibilities and qualifications, and kept the emphasis on breakout-room management, client service, AV production, IntelliEvent, remote working, and travel.
